Overview

Refunds, cancellations
and appointment changes.

This policy explains how Eternal MedSpa handles cancellations, no-shows, service refunds, account credits, prepaid packages, product returns, gift cards, financing-related issues, and patient overpayments.

General Refund Policy

Eternal MedSpa generally does not provide refunds for services that have already been rendered. Medical aesthetics, skin, laser, body, and wellness services involve provider time, clinical assessment, product preparation, device use, clinical documentation, and individualized treatment planning.

Completed services are generally final and non-refundable. Results vary and additional sessions may be needed. Post-treatment swelling, redness, bruising, discomfort, downtime, or gradual onset does not automatically qualify for a refund.

Policy Purpose

The purpose of this policy is to respect provider time, preserve appointment access for all guests, reduce preventable no-shows, maintain clear expectations before treatment, and support fair, consistent handling of refunds, credits, deposits, package changes, and cancellations.

Important: This policy should be read together with Eternal MedSpa’s Terms & Conditions, Privacy Policy, applicable treatment consents, package agreements, membership terms, gift card terms, promotional disclosures, and third-party financing terms.

Federal + Florida Alignment

Compliance principles for refunds and credits.

This policy is designed to support transparent, medically appropriate, and Florida-aligned refund and cancellation practices.

Patient Overpayments

If Eternal MedSpa determines that a patient overpayment occurred and a refund is legally required, Eternal MedSpa will process the refund according to applicable law, payment-platform rules, original payment method rules where feasible, and internal billing procedures. Identity verification or documentation may be required before processing.

Gift Cards + Credit Memos

Purchased gift cards and qualifying credit memos issued in Florida will be administered consistent with applicable Florida gift certificate law. Promotional, bonus, loyalty, referral, event, charitable, complimentary, or courtesy credits are not the same as purchased gift cards and may be subject to separate written restrictions where permitted.

Advertising + Discounted Services

Discounted, reduced-fee, free-service, package, membership, and promotional offers may be subject to required disclosures, candidacy requirements, service exclusions, expiration details, provider approval, location limitations, non-transferability, and non-stacking limitations.

Discounted Services

Discounted-service disclosure.

Florida healthcare advertising rules may require specific disclosure language for free, discounted-fee, or reduced-fee services, examinations, or treatments advertised by licensed healthcare practitioners. Eternal MedSpa includes this disclosure where applicable.

THE PATIENT AND ANY OTHER PERSON RESPONSIBLE FOR PAYMENT HAS A RIGHT TO REFUSE TO PAY, CANCEL PAYMENT, OR BE REIMBURSED FOR PAYMENT FOR ANY OTHER SERVICE, EXAMINATION, OR TREATMENT THAT IS PERFORMED AS A RESULT OF AND WITHIN 72 HOURS OF RESPONDING TO THE ADVERTISEMENT FOR THE FREE, DISCOUNTED FEE, OR REDUCED FEE SERVICE, EXAMINATION, OR TREATMENT.

When This Applies

This disclosure is included for free, discounted-fee, or reduced-fee service, examination, or treatment advertising by applicable licensed healthcare practitioners in Florida.

It does not mean every service is refundable. It applies to qualifying advertising and qualifying additional services within the statutory window. Ask Client Services if you are unsure whether a specific offer qualifies.

Offer Terms

Discounts, specials, event pricing, referral credits, promotional credits, bonus gift card credits, complimentary services, memberships, and limited-time offers may be subject to eligibility, expiration, service availability, provider approval, location limitations, non-transferability, and non-stacking rules.

Discounted service offers do not guarantee candidacy, product availability, treatment amount, treatment outcome, refund eligibility, or approval for any additional service. Services remain subject to consultation, provider assessment, informed consent, medical appropriateness, device availability, and product availability.

Appointments

Cancellations and no-shows.

We ask guests to provide at least 24 hours’ notice to cancel or reschedule so another guest may use the appointment time.

24-Hour Notice

Please provide at least 24 hours’ notice to cancel, reschedule, or materially change an appointment.

Less than 24 hours may be treated as a late cancellation. Same-day cancellations may be treated as late cancellations. Changing a service too late may also count as a late change if the appointment block can no longer be used.

Late Cancellation Fee

Late cancellations may be subject to a $50 cancellation fee. This fee helps offset reserved provider time, treatment room time, device availability, staff preparation, product preparation when applicable, and appointment access that could have been offered to another guest.

No-Shows

Missed appointments may be subject to a $50 no-show fee and may require a deposit, prepayment, card-on-file confirmation, or management approval before future scheduling.

Fee Notice + Collection

If a cancellation or no-show fee applies, Eternal MedSpa will make reasonable efforts to notify you before charging the fee. If no valid card is on file, the fee may be due before your next service, package redemption, membership benefit, or future booking.

Late Arrivals

Late arrivals may result in a shortened appointment, rescheduling, forfeiture of deposit, or late cancellation treatment if the service can no longer be safely or appropriately performed within the remaining appointment time.

Deposits + Prepayments

Some appointments, events, packages, or high-demand services may require a deposit or prepayment. Deposits may be applied to the scheduled service but may be forfeited for late cancellations, no-shows, or failure to meet stated booking requirements where permitted.

Practice-Initiated Changes

If Eternal MedSpa must reschedule due to provider availability, equipment issues, safety concerns, weather, emergency, supply availability, or operational needs, we will work with you to reschedule as soon as reasonably possible.

Refunds + Credits

Completed services, packages and credits.

Because treatments are individualized and results vary, service refunds are handled differently from product returns, overpayments, or unused package balances.

Rendered Services

Completed services are generally non-refundable. Dissatisfaction with an outcome, expected healing, normal swelling or bruising, treatment discomfort, normal downtime, gradual onset, maintenance needs, or the need for additional sessions does not automatically qualify for a refund.

Injectables may require time to settle or take effect. Laser, microneedling, weight, wellness, and skin services may require a series. Follow-up review does not guarantee a refund, retreatment, or complimentary correction.

Clinical Follow-Up

If you have a concern after treatment, contact Eternal MedSpa promptly. We may recommend a follow-up visit, clinical evaluation, adjustment plan, provider review, documentation review, emergency referral when appropriate, or another medically appropriate next step.

Account Credits

In certain circumstances, and at the sole discretion of management, Eternal MedSpa may issue an account credit for future Eternal MedSpa services instead of a refund. Credits have no cash value unless required by law and may be subject to eligibility, service, membership, or package limitations.

Packages + Series

Prepaid packages and treatment series may be subject to package-specific terms, expiration details where permitted, non-transferability, pricing adjustments, product/device availability, provider approval, service substitution rules, and documentation of used versus unused portions.

Memberships

Memberships, wellness programs, hormone memberships, and package-based plans may have separate terms regarding billing, cancellation, pausing, unused benefits, service credits, labs, medication shipping, subscription management, and third-party clinical or pharmacy management.

Medical Candidacy Changes

If a provider determines that a service is not medically appropriate, Eternal MedSpa may recommend an alternate service, issue a credit, modify a plan, or evaluate other options consistent with clinical judgment and applicable policy.

Packages + Memberships

Packages, memberships, deposits and prepaid value.

Packages, series, memberships, deposits, credits, and prepaid plans are handled according to written offer terms, clinical appropriateness, usage history, and applicable law.

CreditsMay be issued at management discretion instead of a refund.Credits may have no cash value, may be limited to eligible services, and may not be transferable unless stated in writing.

Retail + Financing

Products, gift cards and financing.

Products, gift cards, credits, packages, specials, and financing may have separate terms.

Retail + Product Returns

Retail products, prescription or special-order items, opened skincare, used products, wellness products, supplements if offered, refrigerated items, sterile items, and items that cannot be resold may be final sale unless management approves otherwise or applicable law requires a different outcome.

Unopened eligible retail items may be reviewed case by case. Opened, used, sterile, special-order, or refrigerated products may not be returnable. Manufacturer defects or adverse reactions may require documentation and review.

Product Reactions

If you believe you experienced a product reaction, discontinue use and contact Eternal MedSpa promptly. Product concerns may be reviewed individually and may be subject to manufacturer guidance, clinical review, documentation requirements, or return limitations.

Gift Cards

Purchased gift cards are not redeemable for cash except as required by law. Purchased gift cards issued in Florida will be administered consistent with applicable Florida law. Lost, stolen, altered, or unauthorized gift cards may not be replaced. Promotional or bonus gift card credits may have additional restrictions where permitted.

Promotional Credits

Referral credits, loyalty credits, bonus cards, charitable certificates, event credits, complimentary credits, model-call credits, and promotional credits may be non-transferable, non-refundable, non-cashable, limited to eligible services, and subject to expiration or other written limitations where permitted.

Financing

Cherry, PatientFi, CareCredit, payment processors, and other financing or payment providers may have separate repayment, refund, cancellation, dispute, chargeback, and service-change terms. Financing approval, repayment, interest, fees, charge disputes, merchant adjustments, and billing are controlled by the financing provider and applicable platform rules.

Financing approval is not controlled or guaranteed by Eternal MedSpa. A refund or credit approved by Eternal MedSpa may still need to follow lender or payment-platform procedures. You remain responsible for lender repayment obligations unless the financing provider confirms otherwise.

Chargebacks + Disputes

If you have a question about a charge, contact Client Services first so we can review the appointment, purchase, package, credit, service documentation, or payment record. Chargebacks or disputes may affect booking privileges, account standing, promotional eligibility, or future deposits while the issue is being reviewed.

Unpaid balances may need to be resolved before future services. Fraudulent or abusive disputes may result in booking restrictions. Documentation may be provided to the payment processor, lender, or card network as part of dispute response.

Discretion + Review

Management review and exception handling.

Eternal MedSpa understands that illness, emergencies, family obligations, and unexpected circumstances can occur. We also need consistent policies to protect provider time and appointment access.

Management Discretion

Policy enforcement, courtesy waivers, credits, deposits, service substitutions, package adjustments, and exceptions are handled at the sole discretion of Eternal MedSpa management unless applicable law requires a different outcome.

Repeat Occurrences

Repeated late cancellations, no-shows, charge disputes, unpaid balances, or policy violations may result in stricter scheduling requirements, required deposits, loss of promotional eligibility, or refusal of future non-emergency services where permitted.

Documentation

Eternal MedSpa may document cancellation history, no-shows, account credits, refund requests, service concerns, product concerns, payment disputes, and management decisions in internal records or guest account systems.
